ROOMZ - Digital room signs
Digital room signs at ETH are based on the ROOMZ platform. ROOMZ makes it possible to display current bookings from the room reservation system. The display model with buttons also allows for ad hoc bookings to be made on site. These are automatically synchronised with the booking system once an hour. The ROOMZ platform is operated by the Engineering and Systems department (E&S).
The auto-release function in ROOMZ
The auto-release function of the ROOMZ room reservation system automatically releases a booked meeting room if no one enters within the first 15 minutes. This optimises room usage and ensures that all available meeting rooms are accessible. You can find detailed information on how it works in the Q&A section here.
At ETH, many classrooms (lecture halls, seminar and training rooms), meeting rooms as well as selected special rooms and work places are equipped with digital room signs. The displays are battery-operated and connected via WiFi.
Follow the instructions below to order a new digital room sign. Answers to frequently asked questions about support and operation of the ROOMZ platform can be found below.
Order a new digital room sign
To install and configure a new ROOMZ display, please send an e-mail to with the following mandatory information:
1. Display type (see pictures below)
Digital room sign 21cm x 21cm for mounting in ETH room sign holder (plate frame).
- with buttons
- without buttons
A display with buttons allows on-site ad hoc bookings, ideal for meeting rooms.
A display without buttons shows existing bookings, for example for a lecture hall.
2. Exact location
- please specify: building abbreviation-floor-room number (example: HG-D-26.1)
- if several doors are present, please specify the door concerned
3. Installation
- Is an ETH room sign plate frame (display holder) item B5.1 already available?
- If not, is the display holder to be mounted on a glass panel?
4. Configuration
A resource mailbox or calendar is required to book the room in question. If you do not yet have a resource mailbox or calendar, please order one by submitting a ticket to IT support. We need the following information:
- Is an ad hoc booking option required? (Only for displays with buttons)
- Resource mailbox or e-mail address of the calendar to which the display is to be linked
- Type of resource (Exchange, Exchange Online, Google Account, iCal XML, etc.)
5. Billing address
The cost of a ROOMZ display including configuration is CHF 750 (as at 01.2025) and is charged internally. The delivery time is approx. 1 week if the plate frame holder is already available. We need the following information:
- Cost center (number)
- Responsible contact person
The battery life is around 2 years. The battery status is continuously monitored by the Engineering and Systems department (E&S). If necessary, E&S issues an order via GMIS to Facility Services, who will replace the batteries.
Please send an e-mail to with the exact location of the faulty display.
Displays are updated automatically at one-hour intervals.
Displays with buttons can also be refreshed manually. To do this, briefly press and hold the “View” / “Ansicht” button at the bottom right until “refresh” appears. Now press the corresponding button below “refresh”. The message “One moment please... / Ein Moment bitte…” appears while the device is being refreshed.
Please note that the displays are updated automatically at one-hour intervals.
Displays with buttons can also be refreshed manually. To do this, briefly press and hold the “View” / “Ansicht” button at the bottom right until “refresh” appears. Now press the corresponding button below “refresh”. The message “One moment please... / Ein Moment bitte…” appears while the device is being refreshed.
This requires a display with buttons and must be configured in advance. To do this, send an e-mail to .
Once set up, spontaneous bookings of up to one hour can be activated on site via buttons directly below the display. Ad hoc bookings are synchronized with the room's associated calendar.
Did your meeting finish earlier than planned? You can manually release a reserved room ahead of time. To do this, press and hold the 'Release' ('Freigeben') button in the bottom-left corner of the screen, then press 'Confirm' ('Best?tigen'). This will cancel the reservation, and the room will become available again in the booking system after the next synchronisation cycle. This feature helps to ensure that rooms are used efficiently.
Day view is the default configuration. Other layouts and weekly views are possible. Please send your request to .
The language of the displays is defined centrally for each building and cannot be adjusted individually.
