Reserves report
The reserves report includes all reserve PSPs within a selected responsibility centre. The report shows the available reserves at the beginning of the year, the changes in reserves during the selected year and the resulting closing balance.
The default view shows the status of the reserves on the selected date.
The reserve report shows the research reserve as type 1-9 PSP and also includes project reserves (PSPs financed from the research reserve) and other reserves (e.g. from conferences). Only actual postings are taken into account and the reserve balance is determined exclusively by revenue and cost postings. This results in a clearer and more differentiated presentation of the reserves.
The balance and reserve transactions are shown as actuals. (From 1 June 2025 there are no more transactions handling reserves as budget).
Note: For the go-live of the reserve report, there was one posting to each of the "old" type 4 PSPs on 31 May 2025 by which the available budget (budget minus actual) of the type 4 PSP was migrated as revenue to the newly created type 1-9 PSP.
The sign rule (minus = credit) is a consequence of the previous value display in the ETHIS reports. Revenues are shown with a minus sign, similar to the basic SAP system, while costs are shown without a sign (neutral). Planned automation/digitisation of the financial systems will continue to require this 1:1 display of the sign logic.
The report includes all PSPs with reserves without earmarking, i.e. all reserves that are relevant for reserve monitoring in the department.
The date (month/year) for the reserve statement is selected via radio buttons (on the left in the ‘Standard view’ field).
Explanation of columns and fields 1-8
- Opening balance as of 01.01: Accumulated balance carried forward from the previous years. Negative amount = credit balance.
- Reserve inflow: Reserve increases from reserve transfers, project balancing, etc. within the selected year and month.
- Reserve outflow: Reserve decreases from reserve transfers, project balancing, etc. within the selected year and month.
- Revenues: Revenues, e.g. from services, sales, etc. within the selected year and month.
- Costs: Costs, e.g. for personnel, material goods, etc. within the selected year and month.
- Total change: Sum of the values in the columns ‘Reserve additions’, ‘Reserve disposals’, ‘Revenues’, ‘Costs’.
- Closing balance: Sum of the values in the columns ‘Balance carried forward as of 1st January’ and ‘Total change’. Negative amount = credit balance.
- Details on an account basis: The values in columns 1-7 are displayed here according to the G/L account hierarchy.
Accumulated over the entire responsibilty centre (VB, T-VB) or by clicking on individual elements, details can be displayed down to account level (‘expand’).
Extended view in the result
You can display additional columns for the PSP elements under Settings > show additional data.
- Click on this symbol.
- Select the desired columns by ticking them.
- Click on ‘Apply’ (this setting is saved permanently).
- Click here to return to the initial view.
- You can jump to the line item report by clicking on the actual value.
- An Excel file can be exported using the ‘download’ button. The Excel download contains a tab ‘with hierarchy’ and another tab ‘without hierarchy’ (flat list).
